We may use software, data analytics, artificial intelligence (AI) tools, integrations and automated workflows to assist staff with tasks such as organising and searching information, preparing drafts and summaries, classifying or routing enquiries and documents, generating alerts, checking completeness, reporting, forecasting, scheduling, estimating, fraud and cybersecurity monitoring, customer service and business administration.

We do not permit staff to enter personal information into an AI tool unless its use is authorised and appropriate for the task, subject to our internal requirements and the applicable service arrangements.
8. Automated decisions that may significantly affect individuals
From 10 December 2026, the Privacy Act requires additional transparency where an entity has arranged for a computer program to use personal information to make, or do something substantially and directly related to making, a decision that could reasonably be expected to significantly affect an individual’s rights or interests.
At the date of this policy, Beaumonde Homes does not intend to make decisions solely by computer program that could reasonably be expected to significantly affect an individual’s rights or interests. Decisions concerning entry into or termination of a building contract, material contractual rights or obligations, significant pricing or payment outcomes, employment, privacy complaints, and access to or correction of personal information are intended to involve human consideration.
Computer programs may, however, assist staff or perform steps related to decisions, including by:
- using identity, contact, project, property, contract, transaction, communication, portal usage, supplier, contractor, recruitment or employment information to organise records, check completeness, calculate or validate information, identify exceptions or risks, generate alerts, prioritise workflows, or prepare recommendations, summaries, estimates or reports;
- routing enquiries, requests, complaints, documents, tasks or project information to the appropriate person or workflow;
- supporting project estimating, scheduling, procurement, safety, quality, accounts, customer service, recruitment, security and compliance activities; and
- detecting unusual activity or potential cybersecurity, fraud, safety, quality or compliance issues for review by an authorised person.
The kinds of personal information used in these processes may include identity and contact information; property and project information; contract and transaction information; communications and service history; website, portal and account activity; and, where relevant and permitted, supplier, contractor, recruitment or employment information.
If our practices change so that a computer program makes, or performs a substantially and directly related step in making, a decision that could reasonably be expected to significantly affect an individual’s rights or interests, we will update this policy to describe the relevant kinds of personal information and decisions as required by law.
An individual may contact our Privacy Officer using the details in section 15 if they have questions about the use of their personal information in an automated process or wish to request human consideration of a matter. Whether a particular review or outcome is available will depend on the circumstances and applicable law or agreement.
9. Direct marketing
We may use personal information to send information about our homes, services, display homes, events, promotions or related matters where permitted by law. Individuals may opt out at any time by using an unsubscribe facility or contacting us. We will not charge for an opt-out request and will action it within a reasonable period.
Opting out of marketing will not prevent us from sending service, project, contractual, safety or other non-marketing communications that are reasonably required.
10. Overseas disclosures and service providers
Some of our technology, cloud, communications, analytics, support, artificial intelligence and other service providers may store, process or provide access to personal information outside Australia. The countries in which cloud servers hosting our personal information and overseas recipients are likely to be located may include the United States, New Zealand, Singapore, India, Ireland and other European Union
We use third-party cloud-based services to support our business operations, including email and communications, document storage, client and project management, accounting, and administration. These services may store or process personal information on our behalf.
The location of data and support personnel may change as service providers update their operations. Where required, we take reasonable steps in relation to overseas disclosures in accordance with the Privacy Act. Individuals may contact our Privacy Officer for current information about likely overseas disclosures relevant to them.
11. How we hold and protect personal information
We may hold personal information electronically and in paper records, including in business systems operated by us or by contracted service providers. We take reasonable steps appropriate to the circumstances to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.
Measures may include role-based access, authentication, device and network security, backups, monitoring, staff training, confidentiality obligations, supplier controls, secure physical storage and procedures for responding to suspected data breaches. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
We retain personal information for as long as reasonably required for our functions, contractual and project records, warranties, insurance, dispute management and legal or regulatory obligations. When information is no longer required, we take reasonable steps to destroy or de-identify it, subject to lawful retention requirements and secure backup processes.
12. Data breaches
We maintain processes for assessing and responding to suspected privacy and data security incidents. Where the Notifiable Data Breaches scheme applies, we will assess a suspected eligible data breach and notify affected individuals and the Office of the Australian Information Commissioner where required by law.
13. Accessing and correcting personal information
An individual may ask to access personal information we hold about them or request that it be corrected. Requests may be made to our Privacy Officer using the details in section 15. We may need to verify the requester’s identity and clarify the information sought.
We will respond within a reasonable period. In some circumstances, the Privacy Act permits or requires us to refuse access or correction. If we refuse a request, we will generally provide written reasons and information about available complaint mechanisms, unless it would be unreasonable or unlawful to do so. We will not charge for making a request. If a permitted access charge applies, we will advise the requester in advance and it will not be excessive.
14. Privacy complaints
A person who has a concern or believes we have not complied with applicable privacy obligations may contact our Privacy Officer. The complaint should describe the concern and include any relevant information. We will acknowledge and investigate the complaint and aim to provide a response within 30 days, although complex matters may take longer. We will keep the complainant informed if additional time is required.
If the complainant is not satisfied with our response, they may contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or on 1300 363 992. The OAIC generally expects the complainant to first give us a reasonable opportunity to respond.
